I’m ready to officially book - what do I do?

Once you’re ready to officially secure your event date on our calendar, we’ll send you an e-contract that will have a credit authorization form attached to process your retainer fee. The retainer to hold your date and continue working on planning your event will be calculated based on 50% of the estimated food + service/gratuity fee for your upcoming event. 

When should I plan to make future payments?

When you submit your final guest count, we’ll send you your final invoice for everything with exception to any consumption based charges (i.e. bar). This payment will need to be processed 24 hours before your event date.

Your final invoice includes any last minute additions/changes and any consumption based charges will sent after your event. 


What payment types do you accept?

We are glad to accept cash or check. Checks must be received 3 days prior to your event to ensure no issues with the deposit/funds.

We cover any credit card fees unless we purchase any items specifically for your event that we in turn direct bill on your invoice. This allows us to cover the full cost of those items without incurring a loss.

DO I NEED TO tip your team in addition TO THE SERVICE/GRATUITY FEE?

The service/gratuity fee covers our service team, bar team {if applicable} and coordination details leading up to your special event. We have a team of hospitality professionals who execute at a high level at our events, and are proud to offer a living wage for our team.

Any extra tip is always appreciated but never expected. If you’re so inclined to share a little extra with our team because of your level of appreciation for their hard work, we will always distribute any extra gratuity equally between all team members working at your event {servers, bar, chefs, etc.}. With this said, 1618 On Location will NEVER put a tip jar on a bar for guests as we feel this is never appropriate or professional. 

What other costs should I be aware of? 

We do our best to be transparent with all costs associated with your events. We also reserve the right to update prices based on food cost changes and service detail changes that occur throughout the planning process. Personalized menu proposals will include line item costs for guest meals, vendor meals, non-alcoholic beverage costs, service charges and potential 1618 rentals scheduled.  

NC tax (6.75%) will be included on final invoice for all food + beverage items

Upon Consumption charges will be included on the final invoice along with an itemized list of alcoholic drinks and sodas consumed at the event. 

Travel fee: All events located beyond 25 miles of 1618 On Location office (203 S. Church St Greensboro) will be charged a $5/mile travel fee round trip.

Venue Catering Fee: Some venues include a venue catering fee on food + beverage sales for events. 1618 simply passes this fee through to the client. Please review your venue contract to see if a catering fee is required from your chosen venue. 


How does 1618 handle allergies + dietary restrictions?

We are happy to provide specialty plates for guests with individual needs as long as we are informed of ahead of time. We ask that you turn in all allergy and dietary restrictions with your final guest count.

We will provide those individuals with a specialty plate that works for their individual dietary needs. 1618 can not guarantee specialty plates will be available for guest requests on the event day. 

DO I NEED TO tip your team in addition TO THE SERVICE/

Clients and potential clients are invited to attend our Tasting Experiences where they can mingle with the 1618 team and enjoy a variety of chef selections, seasonal menus and sip on some bar favorites. This experience is offered 3-4 times per year. Private tastings are not included automatically but can be added at a nominal fee. 

Can we have a private tasting?

What are vendor meals?

1618 ensures that every vendor on site at the event is fed. We consider all vendors on site for more than 8 hours as a vendor included in the vendor meal count. 

On most occasions, vendors would include event planners, assistants, photographers, videographers, DJs, and bands. We will provide up to two meals for venue hosts at no cost to you. 1618’s staff does not need to be included in your vendor meal count.  

Vendor meals are discounted to the client as they don’t require the same plating & staffing needed for regular guests. Vendor meal costs will be listed on your personalized menu proposal.

Can we provide our own alcohol?

We usually provide all alcohol needed for your event. Some exceptions are made for intimate, in home events where clients have special spirits/wines/beers they’d like to pair to our culinary experience. Ask your sales associate if this is applicable to you.

Due to NC ABC/ALE restrictions, we are not legally able to provide a cash bar at events. 

Does 1618 offer any rentals?

We offer rentals including flatware, plates, glassware, linens, tables, etc. Rentals vary depending on event and venue. If your looking for rentals other than what we provide, we’re happy to recommend a rental company. We also have a smaller curated rental inventory that our sales + coordination teams are happy to share more information on.
